I’m working for an apparel company as an IT consultant.
Today, I’d like to talk about “Speed is quality”.
What is the most important thing for you in your job?
I cherish “Speed” because it’s easy to improve and to be highly recognized.
When I worked for a consulting company, my boss always told me that “Speed is quality”
I assume that this means “Working speedily is one of the qualities of your work”.
For example, you will be admired if you send a meeting minutes right after the meeting. Even though the meeting minute is not perfect.
Then, how to pick up the pace of your work?
Let me share what I do.
Concentrate your brain to the point of discussion
When do you send a meeting minute?
I think it should be right after the meeting as I mentioned above.
If it is difficult for you to taking meeting minutes during the meeting, you should focus on the point of the speaker.
It is difficult to find the point if you listen carelessly.
Concentrate your brain on the point that the speaker wants to tell you.
Then, you’ll find a point and can take notes.
Prepare the format
Prepare the format before the meeting.
The items to be written is below.
-Title of the meeting
You can write the title, attendee, and agenda before the meeting, and you should revise or add if necessary before the discussion. (It may be the beginning of the meeting.)
When the discussion starts, you can take notes for each agenda, decisions, and ToDos.
Regarding the decisions and ToDos, I think it’s better to take notes in both minutes & format of decision & ToDos to clarify the stream of the discussion.
In case you project a meeting material and are difficult to take notes in a word file, you can take notes in the material directory.
For example, regarding PowerPoint, you can use an object set in the margin.
*As the margin is also projecting, the attendee can point out if you have a mistake.
If you do these above, you can send a meeting minutes right after the meeting.
The report of business trip
I think you should write a report on a business trip on the return flight.
You will want to take a rest in the return flight, I know.
However, if you do so, the tension will go away and you’ll forget the real breath and feeling during the trip.
As it is difficult to recall the feeling, it will take a long time if you write a report on the next working day.
Moreover, your report will be of low quality.
You should write your report on the business trip on the return flight before forgetting the real breath and feeling.
Sequence of your work
How do you decide the sequence of the work?
Priority is one of the factors to decide that.
But I simply divide my task into 2 parts.
-What I need to ask someone
-What I can proceed by myself
Of course, I start to do my task from “What I need to ask someone”.
When you asked to create meeting materials, you should do
1. Start to create materials right after the instruction
There are some things you don’t find until you do.
2. Complete your work until half of the deadline
The level of completeness will be 50-60%, but you have time to revise after the review.
By doing these above, the speed of creating material will be faster thanks to less reworking.
In the end
It is easier for you to increase the speed of your work than to increase quality.
If you work fast, your colleague thinks that you are capable, and can hide the dirtiness of your work.
You don’t have to do well at first. The time must come when your speed turns to quality.
